Please remember we are still in a discussion stage regarding the binders. The motion on weather or not AIS should purchase binders does not come up for vote until Monday so nothing has been decided yet.

I have a call in to the binder company but the sales person is out
at the
moment. The receptionist gave me this information. Binders shipped
in bulk
are in boxes of 36 and that box weighes 38 pounds. Binders shipped
prepackaged are shipped in boxes of 16 and that box weighes 25
pounds.  I
would assume that a box of one unit would weigh approximately 1.5
pounds.
Will Plotner or John Ludi could probably give us an idea of what
postage
might average on such a unit box. Remember it would be somewhat
over 8 and
a half by eleven.

If we do this, I agree we should have them in Madison for people
to take
home themselves.

At $7.05 per binder cost (this includes the $.85 each for the
shipping box
and the $150 set up), we could give people at the Convention a
Special
Price of say $9.00.  This should cover shipping cost to Madison
for say
100 of them?? And then the regular price shipped from the
Storefront could
be $10.  That gives us $2.95 excess to cover shipping expenses on
each
one.  We will not make a lot of money on these, but I think it is
a
goodwill gesture since we chose to change the Bulletin size.  Total
upfront cost would be in the neighborhood of $1400-$1500 for the
initial
200 order.

Bob, if these are popular, and I believe they will, could we get a
better
discount on say 500 of them when we order the second shipment??

Perhaps when we order the 200 we could have half delivered to the
Maidson
Hotel and the other half sent to the Storefront?  Could Madison
handle
storing them until May?

Other factors to consider for pricing the binder. What is it going

cost to mail/ship a binder to the customer? (At this time without
knowing
the size or weight we would hazard to guess. It would not be
classified/shipped as Media Mail (Book rate). What are the
shipping
charges to Madison or the AIS Storefront? We do not  think we
should ship
200 to Madison and turn around and have to pay for shipping back
to the
AIS Storefront. We are talking about a bulky item for shipping. If
the
Board decides to purchase the binder, we highly recommend that we
also
purchase the box for shipping. That is going to be a cost whether

purchase the box with the binder or if we at the AIS Storefront
have to
purchase a box from another source.
According to our figures, 200 binders w/boxes plus the dye cost,
purchase price is  $7.05 per binder. To this we need to add all

shipping/mailing cost.

I surfed the internet for magazine binders and all the
publishers
I found
offering these get them from the same source and are very
satisfied with
that company. That firm, Rogers Looseleaf  provided me with a
bid
for 200
binders. They would be dark blue with gold printing saying:
The
American
Iris Society, Quarterly Bulletin and the insignia of AIS
printed
on the
spine. There would be a one time charge of $150 for creating
the
dye. Each
unit cost would be $5.45. If we desire cardboard shipping
boxes
individually packed they are an additional $0.85 each

It is true that we have a budget crunch. But we have also put
into
place
measures to compensate. We will only increase membership by
providing the
services expected of a 21st century organization. Efforts are
being made
to get us there. It is true this is a minor issue. But then
again
if we
can not offer services like this for fear of loosing money
than
what
products can we sell that can bring in money? I believe this
is a
modest
investment in inventory and could potential make a few bucks.
